Copier Printer Purchasing Leasing Advice Archives

Does your company lease or have a maintenance agreement for copier printer scanner multi-function office equipment from Sharp, Xerox, Canon, Minolta, Toshiba, Ricoh or other company?

Do you know your options at lease end can greatly reduce costs while improving efficiencies of your office?

First let’s be realistic: Leasing companies are interested in one thing and one thing only Lock you into a 3 to 5 year lease so nobody else can offer you better equipment, pricing or service.  They want to move new hardware and lock you for several years because they have quotas to meet from Canon, Sharp, Ricoh, Minolta or they loose their dealership.

Point One: How do you know?

Do the following:  ask your dealer what brands they offer new.

If they only  offer one brand or a brand series all made by the same company then you know they have quotas to meet and they have an agenda to move hardware whenever they can.

“…they, the copier printer leasing companies such as Canon, Sharp, Toshiba, Minolta, Xerox and Ricoh, have an agenda to trap you for years”.

If this is the case, be careful! Just because it’s a well known brand does not mean it’s the most cost effective or efficient equipment for you!

Point two:  Bugging you to upgrade your copier printer way before renewal time. This is another copier printer leasing company tactic to trap you even longer and to move more equipment again. If your equipment is functioning well and it meets your needs then why are they bugging you?  If it’s not working well or meeting your meets whey did they offer it in the first place? Why repeat the same mistake with people who only have one interest – sell more copier printers to get big fat commissions  and trap you again for a longer period.

Simple: They need to keep moving equipment to meet quotas and they do not want to take a chance that another company may offer you better equipment at a competitive price.  This is a tactic to lock you up for many years.

Ask quotes first.  Get the right copier printer scanner lease the first time.  Look at the copier lease agreement and make sure it spells out the exact cost to buyout the equipment before you sign. Do not let them have a 90 or even 60 advanced notice period for cancellation or buyout – it should be no more than 30 days!

Point Three: Over billing for pages you do not use. This is the third and most abused tactic of copier printer scanning leasing companies. Include pages in the lease that they know you will never use. They will ask you what is your estimated monthly volume then they add a few thousand pages and quote you the bunch of pages at a seeming low price.

Did you know 87% of he companies who fall for this tactics actually costs you 243% to 380% more per page than quoted because you never use up all the allocated monthly or quarterly pages?

Why pay for pages you never use? There is no page overage or lease refund! You pay the monthly price even if you do not print a single page.

“….costs you 243% to 380% more per page than quoted.”

Why are these three points important?

Simple: Your company’s’ business is to make money. You do this by offering your product and service while keeping costs down on your needs to make a profit. Every dollar you save in actual costs and efficiencies increases your profits and pay check.

Problem with printing to a digital copier or copier printer. It takes too long to print the document.

Cause One:    The higher the resolution the slower the print job. The laser printer does not start printing until it receives the full letter document into the printer copier memory.  The more details your printer copier document ha the longer it will take to download to the equipment. Try limiting the amount of graphic or increase the amount of memory in your printer or copier printer.

Cause Two: Older computer upgraded with a new operating system. The printer or print copier scanner can only receive the document as fast as the computer can send it.  The new operating systems have more overhead and will cause an older printer copier to seem slow but the actual problem may be the computer. Make use your computer has MORE than the minimum amount of RAM for your operating system to help speed downloads to your digital printer or printer copier scanner office machine.

Cause Three: Using older type of connector instead of faster or slow network. If your copier printer scanner is on a network then that’s another bottle neck. Your document must go through your computer to a network switch which routes it to the actual printer copier. Check to see if your are using 100 or 1000 switch. Does your computer have a 1000 GHz connection or the slower 100? Upgrading you network switches and network adapter will speed up the whole network and the printer copier speed.

If you need assistance in speeding up your computer or are looking for suggestions on how to improve your copier printer work flow contact Advanced Business Computers Inc.

Case in point: Ricoh usually has two maintenance kits one for the fuser and one for imaging.  However, they are parts that require rebuilding of each of the units which results in high labor cots. Also, the maintenance kits last on the average 80,000 to 120,000 (some have 250K kits). This means for every ONE Kyrocera kit you will need to due 3 to 4 equivalent Ricoh kits.  What a waste of time and money!

HP printer copier scanner MFD repair costs

Hewlett Packard continues to bring new laser printer copier all in one scanners to market.  They are striving to reduce the problems that exist in the older laser printers that we continually see in for repairs.  Companies are still cutting budges and trying to keep costs down by purchasing the low end MFD (multifunction printer copier scanners) by HP, Lexmark, Brother, Canon and other brands.  However, most companies fail to look at the printers copier repair service history prior to making purchasing decisions.

First,  lets tackle repair costs. The cost in labor hours to repair a $100 verses an $1100 machine are the same. Most HP printer repairs take less than an hour for a certified HP repair center such a a Advanced Business Computers in Miami. The main difference is the part costs for the printer repair, copier service  and the how long he part should last.

Simple put, “you get what you pay for” when buying a new HP laser printer.   The more you pay for the laser printer the more pages you can produce before a break down.

The fuser assembly for an HP color 3600 or 3800 cost the same as the HP 4750 but the HP 4750 will last three times as long!  Yes, the HP 4750 printer cost $400 more but in the long run you get faster printing, lower per page costs costs and less repairs.  The paper pick rollers for an HP P4015 costs less and last longer than the ones for the HP 2420.  Again, the HP P4015 costs more but you will see great savings in per page costs, printer repairs and increased speed.

The HP printer repair costs for the lower end machines makes many of them throw away devices.  The HP laser 1012 or 1015 cost less than $200 new, however the repair costs are the same as the higher end units. Basically would you pay $95 labor plus parts for a $200 machine?  Many companies are under the illusion that buying a new machine every year is less expensive than getting a higher end one.  The truth is the opposite. The lower ends have a much higher cost per page, lower life and less features.

Before you choose a new HP printer copier or scanner check the history of the device.  Cost per page to use.  Call an expert for advice on what best fits your needs. Just like cars, would you buy a fiberglass sports car when you need a truck? HP Printer Copier Fax Repair ADF MFD

In the past 4 years HP has boosted their line of MFD All  in one laser toner cartridge based devices.  However, HP printer scanner copier machines has exhibited a far greater number of failures especially in the sub $1000 price point.

Case in point: HP 2480 all in on color laser printer copier fax scanner.  This very popular machine which came out 2..3 years ago had continually provided headaches for user.  First the scanners starting to fail which required replacing the ADF (automatic document feeder) on top scanner which costs around $217 plus labor to replace. Then the cartridge carousel started to have alignment problems which required adjustment and in several cases the problem repeated. HP has always had color laser printer carousel problems with the HP 2500, 3500, 3600 and the 3700 HP color laser printers.

Remember just a few years ago a good business class hp laser printer non all in one cost around $1100 depending upon the laser printer features. Now HP, Lexmark, Canon, Okidata and other companies are shoveling out laser based all in one for well under $1000 because Brother controlled the low end laser based MFD market and they wanted a piece.

Remember the old wise saying, “You get what you pay for”.   Brother still has  a major portion of the all in one laser based but HP and others has eroded their market.

If you had a limited budget which one is best for you?  Brother still produces the best sub $600 low volume all in one laser based machines.  HP and Okidata come in second in quality. However, if you are looking for a higher end business class laser printer scanner copier with low operating cost them look at the units that are in the $1500 and above range.

How do we know? Advanced Business Computers Inc. is a factory certified Okidata, Lexmark, HP, Brother, and Xerox repair center. Also, we provide warranty service for several of the brands.  One the average over 53 all in one machines laser based printer scanner copier fax are serviced every week by our technicians.  In short through experience since 1988.  Its important to know the history of a toner based laser printer copier equipment model.  Look beyond the product name.  Ask repair companies which laser printer copier scanner machines they recommend.

The used copier printer market has turned upside down over the past year. It’s getting harder and harder to fine recent model copier printers off lease at a good price.  We spoke to the three largest off lease equipment resellers and the trend is clear with them. They all state that the Chinese are grabbing container after container load of recent model used, refurbished and off lease copier printers which is driving up the cost of all in one used printer copier scanners machines for business looking for ways to reduce costs.

The hotest brands are Kyocera,  Copystar,  Rioch and Sharp. Canons, Toshiba, Xerox and Minolta are a dime a dozen (they cost the most to repair and have the most problems).

Why Kyocera, Copystar, Ricoh and Sharp printer copiers instead of Canon or Minolta? Simple.  They are simple to repair and are much more reliable. the Kyocera/Copystar brand is the hottest ones now. Every 4035, 5035, 3035, 3050, 4050, 5050 and similar models are just plan hard to fine here in the us with low page counts .

Used Kyocera copier printer scanners have greatly increase in value. Over the last year a good refurbished Kyocera 4035 have increased 23%. Plus, they are getting scarce because companies are realizing that it less expensive better to buy the copier printer at the end of the lease then start a new lease.

When you look for a used or refurbished printer copier all in one machine check the age of the machine. cost of parts and supplies. Remember if the deals looks too good there is a reason. Call a certified printer or copier service technician to check the printer scanner copier before you buy – it may save you hundreds of dollars in repairs!

If you have a question concerning a used copier model please contact Advanced Business Computers Inc. for reliable quick answers.

HP color Laser Printer Problems

Hewlett Packard Color laser printers for the most part offer very good value for the money when you review the mid-range models and higher. However, as in most brands of color printers the sub $700 color laser printers are not designed for business usage.

Case in point:  The Hewlett Packard 2600/2605 series color laser printers.  There are several know problems and the major one is the replacement of the the transfer belt.  Usually this is a simple end user installable supply item. But not with the 260o.  Also, the toner carriage tends to have contact problems so you will need to clean the contracts frequently. Then add the high cost per page for the supplies and you begin to realize that it truly color laser designed for low volume home usage (less than 1,00 per month).

The HP color printer 1600, 2500 and the 2600 color lasers also has problems with the front door breaking.  Everything is plastic and not thick durable plastic either. Open the door to the toner area and you will know what I mean.  Again another indication that this is a HOME color laser printer for light usage.

If you need a color laser printer then always check the manufacturers usage recommendation.  Ask an authorized laser printer or color copier printer dealer for advice.  See if they ask the right questions first before you make the selection of your preferred color printer or color copier dealer.

Does  the color copier dealer or printer center  they only offer one brand or seem more interested in getting you into a 5 year lease than solving your problem?  Do they ask you your monthly volume and determine your true cost per page? Do they offer exact per page agreements to save you money big time or do they load he agreement with pages you will never use?

If you need help or have questions on which model is best for your business then contact Advanced Business Computers Inc now via the web, this blog or by mail.  Remember equipment failure and expensive copier printer lease can be prevented with the right information.

The costs are starting to drop on laser based color copier printers and scanners. Recent model color copiers and color laser printers hardware by Kyocera and Ricoh have force other players int he copier printer scanner market to reduce the cost of their supplies. Kyocera the low cost per page leader in color copying and printers now boost great image quality too.

Kyocera, the green copier printer company, has always provided low cost per page and fantastic low maintenance copier printers.  However, they were only average in the color printing.  However, during the past three years they have gained a wide following in the color market not just as the low cost per page leaser but in great color quality output of prints and copiers. Now their color copier printers and color printers compete the best of them while excelling in low cost of ownership.

What is the cost of copier printer scanner ownership?  Simply its the total cost including all costs associated with copier repair, maintenance and supplies in a per page amount. every time you use your copier printer scanner it uses a bit of toner, developer, drum, fuser life, and other part costs.  You calculate the cost per page of the printer copier by taking all the costs and divided  the number by the estimated life of the toner, developer, drum, etc.

Other low costs favorites are HP laser printers but not their multi-functions due to their poor repair history. Ricoh, Lanier, Saving and Gestetner is another favorite color copier  printer manufacture. Ricoh manufacturers Lanier, Gestetner and Savin copier brands.  The Ricoh copiers provide very reliable work with very good quality color copier output.  However, they are more expensive than the Kyocera and more costly to maintain.

Other color copier printer scanner brands to consider are Sharp. we do not recommend Canon or Toshiba due to their high cost of ownership and repair parts.

Color copiers printers have greatly come down in their costs to operate. Remember to always check the cost of ownership before you buy.  Call or as a certified technicians which brands work the best and cost less to operate. Stay away from companies who only offer one or two brands because they will be bias. Get a phone Free evaluation or if you plan to purchase a used copier or used printer get a technicians to check it first!
